ChildPlus Online Reports Module
Running Reports in ChildPlus Online is quicker and easier than running reports in ChildPlus Desktop, once you learn the basics.
For this example, I will use report 2190. But you can use this same information to run every report in ChildPlus Online.
In the REPORTS module you can enter the report number or description in the search bar to find the one you need. For example: "2190" or "Preliminary Center".
Or you can select a report category from the ALL CATEGORIES drop-down menu. This specific report can be found in the ENROLLMENT category.
Once you find the report you want, click on it to open the settings:
Click on the BLUE LINKS in the report menu to change the settings for that specific area.
FILTER PARTICIPANTS BY...
For this example, you will want to set the following:
PROGRAM TERM:
If you check the CURRENT YEAR ONLY box at the bottom left of the pop-up screen it will limit the options to this program year only.
For the example of this report, we will select the PS 2025-2026 program term.
NOTE: if a checkbox has a check in it, this means that all items in the included group are checked. If the box has a blue square, then it means some items are checked and some are not.
LOCATION:
This lets you select which sites to include in the report. If you check the OPTIONS box in the bottom left of the po-up screen it will let you change the locations grouping between AGENCY and REGION. Region groups sites by region. Agency lists all sites alphabetically. You can also choose to show inactive sites if you need to run a report on closed sites.
It is good practice to view the OPTIONS box whenever it is available in the report settings to ensure you have selected the settings you want.

Selecting Sites and Classrooms
If you click on a square it will add a check or remove a check. You can click on the ALL box at the top of the list to add all or remove all sites at one time. If you are going to limit the report to just specific sites, I recommend unchecking the ALL box first first and then checking just the ones you want. This is easier than unchecking all sites individually.
To select all the classrooms at a specific site, just checking on the name of the specific site is enough. But if you only need specific classrooms, you need to click on the triangle/arrow symbol next to each name to open the list to the next level and show the classroom. A triangle/arrow pointing right means the folder is closed. A triangle/arrow pointing down means it is open.
Click on the right pointing triangle/arrow symbol it will open the folder and click on the down pointing triangle/arrow symbol to close it.
Once you click on the right-facing arrow (triangle) it will change to a down-facing arrow (triangle) and then the classrooms for that specific site will appear. Then check just the specific classrooms you want to see in the report.
FYI: If you have already selected just a specific program in the PROGRAM TERM section, such as PS (Preschool), you don’t need to go into the LOCATIONS and uncheck the EHS classrooms as the will not be included in the report since you specified PS only on the PROGRAM TERM setting.
ENROLLMENT STATUS:
This is the section you can select the enrollment status filter for your report. In this example, I have selected Enrolled only. But, If you need to see all students that have been enrolled in the selected program year, make sure to include the Dropped statuses as well.

FLAG/GROUP:
If you needed to reduce the results of your report to show just data for a specific flag/group that has been setup in ChildPlus, click on the NOT FILTERED link next to “Flag/Group”. You must then check the “Filter by Flag/Group” box at the top of the pop-up window before you can select one or more items to filter the report on.
PROGRAM OPTION:
These are classroom types. In almost every situation you will want to leave Program Option set to ALL.
RESPONSIBLE STAFF:
If you need to reduce the results of your report to show only data assigned to specific responsible staff, then click on the ALL link next to “Responsible Staff.” Then you can select specific staff members associated with the following categories: Attendance, Disability, Education, Enrollment, Family Services, Health, Immunizations, Mental Health, and/or Pregnancy. In the majority of the time, you will want to leave Responsible Staff set to ALL.
To add specific staff members to one of the groups, click the ALL next to the group you wish to modify. Then another pop-up window will appear. Your options are: All Staff, Me, or Selected Staff.
To only see report results for yourself, change the option from All STAFF to Me.
To only see report results for other specific individuals, change the option from ALL STAFF to SELECTED STAFF. Then you can either type a name or part of a name into the search box, or scroll through the list of all the names to find the one(s) you wish to report on. In either example, you need to check the box next to each individual’s name that you want to have the report run on.
CUSTOM FILTER:
If you need to reduce the results of your report to show only data assigned to specific responsible staff, then click on the ALL link next to “Custom Filter”.
Check the box next to each custom filter that you want to have the report run on. You can select one or more than one filter for your report. In my example below, I have selected the “Funding IS NOT Non-Program Students”.
Match ANY Filter (OR)
If you select more than one filter for your report, you MUST change the logic selector at the bottom of the pop-up window from Match ANY Filter (OR) to Match EVERY filter (AND)! Otherwise your report will not be all the selected filters.
OTHER FILTERS AND OPTIONS
This section will have options specific to individual reports and may not be included in all reports. For this example. Report 2190 has the following options: Location Preferences & Optional Data. If you are unfamiliar with the choices in this section, click the blue link and see what they options are. You will not always need to select choices for Other FIlters and Options.
FORMATTING
GROUP BY:
You can choose to group your report by Agency, Site, or Classroom. In this example the report is grouped by classroom.
ORDER RESULTS BY:
In this report, you can order the results by participant names or birthdays.
INDIVIDUALS:
You can run reports on specific participants by clicking on the INDIVIDUALS button in the bottom right of the settings menu.
NOTE: You do not need to select individuals unless you only want to run the report for those specific individuals.
A new pop-up window will appear showing a list of all participants for the locations and classrooms you have selected previously. You can either type a student name 9or part of a name) into the search box, or scroll through the list of all names. To select a specific child or children to run the report on, check the box next to each child’s name. Then select the GREEN view button.
When you have selected all the settings you need, click on the green VIEW button to run the report. It will open in a new window. You can leave this report open and if you (or someone else make s changes to the data then all you need to do is refresh the page and the report will be run again with the updated data.
RUNNING THE REPORT
In this example report there are blue links on the student’s names. If you click these it will open up that child’s ENROLLMENT tab so you can see data for that individual child.
SAVING THE REPORT
If you want to save a report that has been generated by ChildPlus Online, click on the UP ARROW in a BOX icon and select PDF. Then save the file where you want to keep it.
Saving the report to a PDF file is usually your best option. However, some reports, especially GRID-style reports, would be better off saves as CSV files and then opened in Excel. Or, you could see what the report looks like saves directly as an EXCEL file in teh XLSX format.
One advantage running reports in ChildPlus Online versus ChildPlus Desktop is the blue links that are created in the report will save into the PDF file. This means you can click on a link in the saved PDF file and it will open that record in ChildPlus Online.
